Workflow Rules In Salesforce

In Salesforce, the workflow is fundamentally a business logic engine or repository that automates some actions according to particular criteria. If the criteria are satisfied, then that tasks get implemented. When it is not satisfied, records are saved yet no task gets executed.

Components of Workflow

In Salesforce, workflow rules can be divided into two components.

  1. Criteria: Criteria are nothing but constraints or conditions that are used to test a record. For example, In the C programming language, we will see conditional statements like If, If-else, Nested If-else, etc.

  2. Actions: Actions will take place if the record satisfies the constraints. Action performs the same thing that the “then” performs in the “If/then” statement.

Actions in Workflow

In Salesforce, two kinds of actions are available in the workflow they are:

  • Immediate Actions: When a document is generated or edited, some actions are implemented immediately, they are known as Immediate Actions.
  • Time-dependent Actions: The actions that are implemented after some time and before the record closing date are known as Time-dependent actions.

Workflow Rule

Workflow rules make the workflow actions get executed when a particular record satisfies the given conditions. Some workflow actions are implemented immediately, and some are implemented in a certain period. Actions Implemented through a workflow rule are as follows:

  1. We can assign work to someone.
  2. We can update a field.
  3. We can send outbound messages.
  4. We can send an Email.

Workflow Action

A workflow action is like a field update, Email Alert, task launched when the constraints of a particular workflow rule are satisfied.

Creating a Workflow Rule

Steps for creating a workflow rule are as follows:

  • Step1: Start the workflow rule creation by choosing the object related to the workflow rule and configure its condition.
  • Step2: After Configuring the conditions for your workflow rule, determine the task when those conditions are satisfied.
  • Step3: Choose a Default workflow user that is exhibited by the Salesforce along with your workflow rule.
  • Step4: Activate your workflow rule so that Salesforce can trigger it.

Configuring the Criteria for a Workflow Rule

Steps for Configuring Criteria for a workflow Rule are as follows:

  • Step1: Goto setup, enter workflow and after that, choose workflow rules.
  • Step2: Select the New Rule.
  • Step3: Select the object for which you need to apply this workflow rule.
  • Step4: Select Next
  • Step5: Provide a name and description of the rule.
  • Step6: Establish Evaluation Condition.


In Salesforce, workflow exists to automate certain tasks or actions. It creates certain rules and conditions for those rules to implement the tasks.
